Job Summary
** Preferred location is Fargo, ND but willing to consider Wahpeton, ND for the right candidate**
We are seeking a Succession and Retirement Coordinator who will provide exceptional levels of service and support to Succession and Retirement Planning Officers. Engages with customers, prospects, team members and visitors through phone, in-person, and digital channels. Responsible for obtaining and processing customer documentation, setting up and managing customer meetings, and responding to customer inquiries.
Essential Duties & Responsibilities
Operations
- Review all incoming law firm legal documents for accuracy and correct content. Ensure documents are complete and contain all details as outlined in the customer meeting notes. Distribute documents to customer and confirm accuracy of the documents with the customer. Recommend changes based on customer discussions. Meet with customer to review and sign documents.
- Prepare all new entity documents by working directly with the law firm and the customer to establish the new entity.
- Manage the process of estate planning document preparation from initiation through final signing, ensuring the document meets the needs of the customer, is error free and accurately prepared.
- Work directly with selected customers and attorneys to complete estate planning documents.
- Work directly with law firm on entity governance documents to make changes or corrections. Ensure documents are complete and accurate. Manage annual corporate meeting minutes for customers that require/request this service.
- Work directly with local government entities to secure deeds and prepare a deeded property list. Review and edit deeds for accuracy and completeness.
- Work directly with customer’s accountants on entity preparation and changes.
- Follow department and association established processes.
- Keep abreast of new and/or changes to estate planning document preparation, entity governance, and deed procedures. Seek and maintain knowledge of applicable software and internal processing advancements to increase department effectiveness and efficiency. Monitor, track and report on the efficiencies within the department, including process excellence efforts.
Customer Service
- Establish and maintain strong customer relations through consistent quality service. Work within a team environment to add value to internal and external customer service by being timely, thorough, and responsive to needs and expectations within assigned scope of responsibility. Share information received through customer contacts and proactively offer input to team discussions. Take ownership of problems until resolved and know when to involve other resources. Enhance the image and reputation of our Associations as a professional and premier provider of Succession and Retirement Planning consulting. May meet with customers to review and sign documents.
- Projects and Initiatives - Volunteer for and collaborate with the team on special projects and initiatives.
Education Requirements
Associate’s degree in Paralegal, finance or another business-related major.
Years of Experience
2 + years experience in Paralegal or other administrative experience in a related field.
Certification and Technical Requirements
Proficient in Windows environment using Microsoft Word, Excel, Internet Explorer and Outlook
